Office Coordinator
Wytch Farm, 12 Month Contract
This is a great opportunity to become part of the administrative team based at Europe’s largest onshore oilfield at Wytch Farm, Dorset.
This role will work closely with the management team to provide support and assistance managing the day-to-day running of the office, arranging both on and offsite meetings and events and providing other administrative support where required.
With support from the HR Advisor the role also involves managing the training system. Arranging both group and single bookings and ensuring the systems are kept up to date and accurate.
This is an office-based role working Monday to Friday.

Key Responsibilities Include:
Office
- Ensure offices and meeting rooms are tidy and utilised effectively
- Owner of desk plans and coordinator of desk moves
- Ensure noticeboards are current and have owners assigned
- Ensure meeting rooms are fully functioning
- Organise site social events
- Organise on and off-site meetings
- Coordinate other local site initiatives
- Manage requests for charity donations and maintain log of donations made
- Manage the budget for the social fund
- Assist with the Local Community Meetings
- Focal point on site for travel bookings for staff (flight, train, taxi, hotel etc)
- Support visitors to site with accommodation and travel
- Maintain up to date list of local hotel rates for accommodation, meetings.
- Organisation of group training courses.
- Book individuals onto training courses and ensure all necessary information is obtained and passed on
- Run monthly report to show PCAP figures and create a plan to close out gaps in training requirements on site.
- Regularly review training providers for course content appropriateness and cost.
- Administer the sites online computer-based training system
- Manage and track development training
- Minute meetings as required
- Assist management team when required with presentations etc
- Provide admin support to the Operations and Maintenance team
- Raising of purchase requisitions in SAP
- Support with Maximo system on an ad-hoc basis – training will be provided
- Man hour reporting for the HSE Team
- Previous experience within an administrative role.
- Previous experience within a training role preferred but not essential.
- Microsoft Office (Word / Excel / PowerPoint).
- SAP – preferred but not essential.
- Be able to conduct themselves in a professional manner at all times.
- Be pro-active, methodical, honest, reliable and flexible.
- Able to work under pressure
- Ability to communicate effectively with people at all levels
