The valued client is seeking an HR Analyst & Time Entry Administrator located in Calgary, AB for a long-term contract.

The HR analyst role is responsible for identifying and assisting in solving HR related issues and ensuring these adhere to the organizations policies and objectives. Analyzing and evaluating data and reports, feeding back the findings to relevant managers and advising on changes and improvements are all part of the role. The HR Time entry role manages and utilizes the SAP time entry for staff, trains, and supports managers directly, complete employee schedule changes, performs hour balancing with schedule changes, audit, reporting, testing, new hires, terminations, and feeds to payroll.

Responsibilities:

  • Maintains employee information in Workday (new hires, changes, and terminations), ensures the accuracy and integrity of the data, tester for updates and also creates and updates user, manager, administrator documentation and guidelines
  • Acts as the key point-of-contact for all HR business partners’ reporting requests
  • Utilizes Workday & Excel to create a variety of reports
  • Examines and identifies key trends to show data reporting in a clear, concise manner to key stakeholders
  • Ensure data integrity and integration including data from other HR functions (i.e. Compensation)
  • Assists HR Business Partners in generating reports, charts/graphs for various headcount, employment data, and workforce trends
  • Effectively prepares data that is presentation-ready for HR Business Partners and senior leaders
  • Participates in key projects (headcount rationalization) providing knowledge and advice on how to best leverage the information available to assist in building requirements and/or validating business assumptions
  • Work collaboratively between HR and Finance to provide support during the annual Work Plan & Budget planning cycle maintaining monthly headcount and dollars to finance
  • Special projects or other duties as assigned
  • Hourly and Salary audits for Shift Planner, Irregular Activity Type, More than Target Hours, Less than Target Hours, Escalation report (e.g., hours not approved, and rejected time). Support on hour balancing requests as the business fluctuates and the workforce moves between shift rotations.
  • Provide general reporting support to HR Business Partner including shift schedule reporting, one off audit requests and special projects. Other SAP support:
    • Submission of Quota Balances in SAP for all maternity and personal leave requests, return to work, and complete adjustments in SAP Master Data for payment.
    • Provide quarterly vacation reporting to the Leadership team
    • Headcount Reporting
    • Update certifications and tickets in SAP for current employees such as steam tickets and duel tickets
    • Support on new hire entry in SAP including entering all relevant tickets and certifications as well the hire and time off dates
    • Manage any SAP corrections that occur relating to organizational changes (result of backdating transfers)
    • Entering time on behalf of employees as requested by HR Business Partner
  • Use SME for HR SAP that can create and test new schedules that integrate with Workday.
  • An understanding of all components attached to a shift determines if they have certain premiums attached (which we have numerous iterations) or OT, all which impact employees pay
  • Help ensure a smooth transition and understanding of our hourly payroll.
  • Work together to troubleshoot when issue arise.
  • Respond to employee questions or concerns regarding their pay
  • Troubleshoot Workday to SAP integration errors and resolve SAP pay errors for employees
  • Coach employees on how to correct time entry or shift planning errors
Qualifications:

  • Minimum 3 - 5 years related experience in an industry;
  • Previous experience with SAP is a requirement;
  • Understanding and confidence in using specific systems and programs, including Excel, PowerPoint, and database management (Workday)
  • Excellent organizational, interpersonal, and communication skills (oral and written) with the ability to multi-task and communicate with individuals at all levels and from various backgrounds;
  • Accuracy, attention to detail, proactivity, and a high standard of quality in all tasks performed;
  • Ability to work independently and manage multiple demands, including prioritizing and meeting deadlines;
  • Analyzing and evaluating issues in HR
  • Researching and reading data and reports
  • Ability to make judgements and decisions on confidential matters, and plan and manage complex administrative systems and practices
