Assignment Scope: Description
The Document Control Coordinator (DCC) will be responsible for managing and maintaining documentation and records related to Gulf Coast Low Carbon Ammonia (GCLCA) Project pre-FEED and FEED activities, ensuring compliance with internal and external quality standards, as well as performing document reviews and quality control checks. The role will require coordination with the pre-FEED and FEED Contractors, the functional groups within the PMT and functional document control organizations within the Company.

Responsibilities
  • The DCC reports to the Project Services Manager initially and then the Information Manager when mobilized for FEED. Key responsibilities of the DCC, include the following, but not limited to:
  • Responsible for the overall implementation and management of the Gulf Coast Low Carbon Ammonia (GCLCA) pre-FEED and FEED Project’s document control system and processes.
  • Process correspondence, project documents, and maintain document control files in accordance with project document control procedures.
  • Prepare transmittals, distribute documents, and retrieve documents in both electronic and hard copy formats.
  • Assist the Project Team in all matters relative to project documents and the control and distribution of documents.
  • Scanning, indexing, linking, electronic filing and distribution of documents in SharePoint and/or other Project Management Information Systems (PMIS).
  • Responsibilities includes internal and external to project participants distribution of correspondence, technical submittals, field memos, drawing logs, project reports and photos, Requests for Information, and contract plans, specifications and change documents.
  • Responsible for proper handling, storage, and distribution of Protected Information.
  • Editing/proofing and document production for project deliverables, as needed.
  • Collecting, recording, distributing, and managing meeting notes, agendas, and supporting documentation.
  • Researching project records, technical documents, information, and data for project pursuits.
  • Manage and oversee the overall document lifecycle that would include document initiation, review, approval, distribution, obsoletion, storage/archive, tracking and trending.
  • Coordinate workflows with task owners to ensure that documents are carefully reviewed, issued, closed, and/or obsoleted within specified time limits.
  • In collaboration with Corporate or Lower 48 Document Control Teams, participate in the transfer of the Snapper SharePoint site(s) to the future implementation of (eDMS).

Basic/Required Qualifications
  • Proficient in using MS Word, Excel, Outlook, and Access, as this individual will routinely work within these systems.
  • Expert skills in the use of MS Office-based software, as well as document control platforms such as: SharePoint, and/or McLaren, OpenText, and Omega 365.
  • 10+ years’ experience in Documentation, Document Management, and Records Management
  • 5+ years of oil and gas industry experience
  • Experience of and aptitude for working in a diverse cultural environment
  • Ability to create and manage folder structures and workflows in Microsoft SharePoint
  • Ability to perform Document Review and Quality Control checks.
  • Excellent organizational and time management skills
  • Strong mindfulness and ability to work with precision.
  • Ability to work independently and as part of a team.

  • Effectively communicate issues and resolve them promptly.
  • Ability to read and interpret documents such as safety rules, technical documents, operating and maintenance instructions, and procedure manuals.
  • Self-disciplined to control the quality of deliverables.
